Incident Reporting

Incident Reporting started as a simple form. It's turning into a full incident and claims tracking system. We've been building it alongside our clients and leading insurance and risk management firms, and these are the first big pieces.

Templates by incident type. A resident injury and a hurricane shouldn't share a questionnaire. Now they don't have to. Build a separate template for each type of incident, each with its own questions. If you've built an inspection template, you already know how to do this. We based the design on inspection templates on purpose. To create/edit/update your templates navigate to settings > system settings > incident reports.

Property-specific templates. Different portfolios, different owners, different reporting needs. Set which properties each template applies to, and every report asks only what that property needs.

A redesigned incident report page. We rebuilt the incident report view from the ground up, modeled on the inspections page you already use. It holds significantly more information and is still clean, easy to read, and easy to act on.

Incident IDs Every incident now shows its ID on the index page, and you can search by ID. Find the one you're looking for in seconds instead of scrolling.

Call Management

AppWork's AI powered call management system is getting better by the day, answering more and more of your calls giving you unmatched visibility.

Work Order summaries, not transcripts. Work Orders created by Call Management now include a clean AI-generated summary of the call instead of the entire transcript. Your techs get the point, not the whole conversation.

No more silent hold. While a call connects to a technician, the resident now hears a message every 30 seconds letting them know to stay on the line. When the queue is a few people deep, that reassurance is the difference between a connected call and a hang-up.

Better caller matching. AppWork now pulls every lease holder and occupant on a unit, along with all of their phone numbers. More callers matched to the right unit means more accurate Work Orders.

Subscribe to call logs. You can now subscribe to call log reports. Think of a daily email of yesterday's missed calls, waiting in your inbox before your coffee is.

Filter for calls with no unit. The call log now filters for calls that aren't tied to a unit, so the mystery calls stop hiding in the list.

Download, transcribe, and translate recordings. Click the three dots on any call recording inside a Work Order to download it, transcribe it, or translate it. Recordings also now show a loading indicator while they load instead of a blank space.

New status icons in the call log. See what happened on each call at a glance without opening it.

And a round of cleanup. A handful of Call Management bugs got fixed along the way. Nothing dramatic. Just fewer rough edges.

Inspections

Stale inspections now cancel themselves.

Move-in inspection didn't get done on time? Until now it sat in your open inspections list forever, waiting for someone to put it out of its misery. Turn this on and AppWork cancels any inspection that isn't completed by its due date. Your open list finally means open.

Where: Settings > System Settings > Maintenance > Inspections > select a template > Settings > scroll to the bottom.

Make Ready

Track the cost of every task. Ever wonder what you're actually spending on a unit turn? Every Make Ready task now has a cost field. Click a task to view, add, or edit the cost, and stop guessing.

User Defined Fields (UDFs)

UDFs let you add your own fields to AppWork, so the system fits how your company works instead of the other way around. Think employee IDs, birthday's, owner entity, or anything you'd want to track to see added to your workflow that we didn't think of. Three big steps forward this month.

Edit and populate UDFs from the Admin Portal. You no longer need to fill in or update your custom fields via the API. It can all happen in the Admin Portal.

UDFs on new Work Orders. Show and fill in your custom fields right when a Work Order is created, not after the fact.

Dropdown UDFs. Create dropdown fields with your own set of options. Consistent answers, clean reports, and no more "N/A," "n/a," and "na" showing up as three different values.

Work Orders

More detail on Rent Manager resident requests. Work Orders submitted by residents through Rent Manager now come through with more details attached. Fewer callbacks to figure out what the resident actually meant.

Settings

New ability to collapse the menu bar while in the settings to expand and see more of the screen. This one is small but those of you who spend a lot of time in the settings will appreciate this small but mighty improvement.
