How AI Benefits Multifamily Industry

Trying to Replicate the Human Brain

AI is a science focused on getting computer systems (aka machines) to think and process data like humans in a simulation of human intelligence. This might sound simple, but the human brain contains billions of nerve cells arranged in different patterns. These patterns enable thought, emotion, behavior, movement, and sensation.

To recreate these neural networks in a computer, programmers first utilize something called machine learning. This process involves the acquisition of information and the rules for using it. Machine learning is a subset of AI, and it focuses on the development of algorithms that enable computers to:

  1. Learn from data

  2. Make predictions based on data

  3. Make decisions based on data

First, a programmer "feeds" the computer structured data (like a spreadsheet). For example, to build an AI that automatically categorizes work orders, someone at AppWork had to first create training documents. Those documents contained datasets comprising structured data.

A very simplified example:

TextCategory: Sub-Category
My toilet is leakingPlumbing: Toilet tank broken/leaking
The kitchen sink is overflowingPlumbing: Drainage issue
Can't turn on my airHVAC: No A/C
There are little red ants everywhere!Pest Control: Ants

Now the machine needs to learn which "input" (the text describing the issue) matches which "output" (the category and subcategory of that maintenance task). This supervised learning trains the computer in how to reason and how to perform tasks without an explicit set of instructions.

Using the data and rules provided, the computer creates algorithms, like the human brain creates patterns from nerve cells. An algorithm is a set of rules used to make calculations and solve problems. If some of the algorithms aren't working well (as in the software isn't assigning the right category sometimes), then a programmer can feed the software a new dataset to correct them. This is called reinforcement learning.

As the program advances, it can eventually start self-correcting errors.

How Does AppWork Use AI?

AppWork uses artificial intelligence (AI) to automate your workflow and save you time.

In the context of multifamily maintenance, AI can offer numerous benefits and applications:

Maintenance Request Triage

AI-powered systems can automatically categorize and prioritize maintenance requests based on factors such as severity, urgency, and historical data. This helps property managers allocate resources efficiently and address critical issues promptly.

Maintenance Request Categorization

Once the machine has learned to associate inputs with outputs, it can automatically categorize incoming maintenance requests based on their descriptions. For example, if a resident submits a request saying, "My toilet is leaking," the AI can recognize keywords and phrases like "toilet" and "leaking" and assign the appropriate category and subcategory, such as "Plumbing: Toilet tank broken/leaking." This automation speeds up the triage process, ensuring that requests are routed to the correct department without manual intervention.

Maintenance Request Assignment

In addition to categorizing requests, AI can also assist in assigning them to the appropriate maintenance technicians. By analyzing factors such as technician availability, skillset, and proximity to the maintenance location, AI algorithms can optimize assignment decisions to ensure timely resolution of issues. For instance, if a request requires HVAC repair, the AI can prioritize assigning it to a technician with HVAC expertise who is nearby, minimizing response time and maximizing efficiency.

Technical Assistance for Technicians

AI-powered systems can provide real-time technical assistance to maintenance technicians in the field. Using a mobile application, technicians can access troubleshooting guides, repair manuals, and instructional videos to aid them in diagnosing and fixing maintenance issues. This on-demand support enhances technician productivity and reduces the need for additional training or supervision.

Maintenance Assistance for Residents

AI chatbots or virtual assistants can guide residents through troubleshooting common maintenance issues, offering step-by-step instructions and solutions. This empowers residents to resolve minor problems independently, reducing the workload for maintenance staff and improving resident satisfaction.

Optimizing Operational Workflows

AI-powered scheduling and routing algorithms can optimize the workflow of maintenance technicians, minimizing travel time, maximizing productivity, and ensuring timely response to maintenance requests.

Data-Driven Decision Making

AI algorithms can analyze vast amounts of data collected from various sources, such as maintenance logs, sensor readings, and resident feedback, to identify trends, patterns, and optimization opportunities. Property managers can use these insights to make informed decisions about resource allocation, budgeting, and long-term maintenance strategies.

Bringing Transformation

AI has the potential to transform multifamily maintenance by enabling proactive, data-driven approaches, empowering residents, optimizing resource allocation, and improving operational efficiency and resident satisfaction.

AI systems can learn and improve over time by analyzing feedback, evaluating the effectiveness of maintenance interventions, and adapting to changing conditions. This iterative process helps optimize maintenance operations and enhance overall efficiency.

By leveraging AI technologies, multifamily property managers can streamline maintenance processes, reduce costs, and ensure the long-term sustainability and resilience of their properties.
