Must -Have Property Site Info for Every Team
Hello everyone. On this topic, we're gonna be talking about property site information. It's extremely important to make sure that everybody who is involved in the property management field that manages properties has the following information. Hand at all times in case of an emergency, especially when you're gonna have an emergency.
So it should be mandatory to have one, technically two copies, one of the copies of this information in the onsite management office, perhaps also in the maintenance shop. And if. Possible to go ahead and have it in your property management software accessible via scan. Always you have that and because you never know when you're not facing an emergency, let's remember one thing, it's not whether we're gonna have an emergency or a situation that is gonna require more or assistance.
When it's gonna happen. So with this, you always have to make sure that you have the following information. For example, you need to be able to have some type of maps of the property. You should never try to combine them. Try to have 'em separately and they should be clear and for, for you to be able to see them that are visually able, everybody can see 'em, that it's clear and simple if possible.
And if you can also laminate 'em. Like I said, once again, have one and copy on the onsite office, perhaps also in the maintenance shop. And if you can have it through something digitally, go ahead and do it through the property management and new softwares you may have. So the following copies that you should have should be a natural.
A map of the natural gas shutoff valves. Also, where you have the water shutoff valves, where you have the master meter water shut valves as well, the locations where they may be so you know where to go in case you need to shut off the water, the main water. Anywhere that you may have, because some properties may just have specific buildings, may say a building has 10 different locations within the same complex, and you may have one in each of those buildings.
So you, if you have that's the case, go ahead and have one I. Have a map where you are able to know, identify where you can have those shutoffs. Make sure that those shutoffs are operational as well. And also there probably has to be one that is called the main shutoff for the whole complex. If you have fires, sprinklers, and the sprinklers and some of the buildings, make sure you also know where the shutoffs shut off for that.
Fire hydrants. What do you have to fire hydrants in which locations? In case you need one of those, make sure they're always serviced and operational. Sewer cleanups, perhaps you need to be able to know where they are, those access for the plumber or any type of emergency that you may have related to sewer or plumbing, electrical, shutoff valves.
Make sure that you have that. Also, the transformers, the areas where they have the transformers, you need to be able to know, have that if they have locks, do they have a combination? You need to be able to have that documentation as well. No dial, like I mentioned on the actual. Maps that you may have, but in my case, sometimes I use it and I put it on the digital copies that I have created within the property file in, in the property management software that we use.
So half that you also need to be able to know where the, uh, electrical lighting timers and all those may be. Also, that may be contained and we sealed and everything. You wanna make sure you have locks. If that's the case, always keep 'em close, but you also need to be able to have access and know where they are.
They are in the building. Swimming pools. If you have a swimming pool, you need to be able to know how to go in, how to operate if you can. Where's the schematic? Where's the area where you can shut off the water if you need to? Any type of toolbox that you need to do that in case there's an emergency and a cable runs the TV or internet.
All those things, not technically a secondary, but you still want to be able to have a map where you have those locations that may come. Like Headley and the Future Handy in the future. Fire alarm pool station locations. If you have some of those, the main control panels, you wanna be able to have that as well.
Uh, just a map showing the property, the lines, the easements, the property lines on the property, that will be extremely helpful. And then mainly at the emergency controls for any access gates that you may have. You need to be able to know that where to go if they have a lock. Do you have a combination key?
All of those things they said are gonna be helpful in case you have a crisis and you need to be able to react soon. All the employees that are are connected to this property to a certain point, should be able to know this When from maintenance technicians, people that may be doing the janitorial work, the leasing managers, the onsite managers, and anybody who's after hours.
After I was working or or covering the property. And supervisors, of course, the supervisors need to be able to know, there needs to be a foundation because trust me, it's not an issue of what's gonna happen. It's an issue is when it's gonna happen. And with all the natural disasters or things that can happen within our complex.
We always have to be as prepared as we can. You're not wanna be running around asking, looking for this information when it could be handed to you in front of you. You have it all that, and you can react faster to any type of crisis. So once again. Organization is the key when it comes to a property. The site information, the maps that can be helping you, knowing what the shutoffs are for all the types of the things that I just mentioned to you.
Gas, water, sewer, how to do shut off certain electrical panels, how to do certain things in order to prevent from more damage. If that's the case, all of those things are gonna be extremely helpful and gonna make your job easier. Whereas as maintenance workers, we always need to be able to know about this.
Okay. And we need to be able to have trainings once in a while within the same ma management team to make sure that we're keeping an eye and that we're doing everything we're supposed to do to run the property smoothly and to be as prepared as you can when it comes to an emergency.
